This comparison is really about who signs the contract. BambooHR is positioned as a dedicated HR operating center for small and midsize people teams, with employee experience at its heart. Paylocity is positioned as payroll-centered HCM for midsize employers, with employee experience and workforce administration surrounding payroll. One is chosen by HR to run HR; the other, in our view, is more often chosen by whoever answers for payroll.
Verdict: BambooHR, unless payroll is the problem you are solving
For a people team at a company of a few dozen to a few hundred employees, the everyday work is records, onboarding, time off, documents and manager requests. A system positioned for that work, with employee experience at the center, should in our view deliver value sooner than a suite designed around something else. BambooHR takes the pick for that buyer.
Paylocity takes it when payroll is where the company is hurting: errors, late corrections, growing pay complexity, or a finance team that wants HR and pay administered in one place. For a midsize employer in that position, putting payroll at the center is the right call.
Where BambooHR is stronger
- HR as its own discipline. The people team gets a system shaped around its work, not a module inside a payroll product.
- Adoption by managers and employees. Its positioning puts employee experience first, which matters when HR depends on managers to approve and update things on time.
- Fewer moving parts. A company happy with its payroll provider can improve HR without touching the pay run.
Where Paylocity is stronger
- One system for pay and people. Changes that affect pay do not cross a boundary between two vendors.
- Midsize workforce administration. Its scope is aimed at employers with more structure to administer, where payroll and HR rules interact.
- Finance-led buying. When finance owns the decision, a payroll-centered suite answers the questions finance actually asks.
The trade you are making
Choose BambooHR as a dedicated HR system and, if payroll stays with your current provider, plan who reconciles changes between the two and test that handoff in the trial. Choose Paylocity and you accept that HR features sit inside a payroll-first product; let the people team test its daily tasks before signing, not just the payroll lead.
Either way, retention rules belong to the employer. The EEOC's recordkeeping page sets out federal retention requirements for covered employers, and other federal, state or litigation duties can require longer. Configure retention to your policy and confirm records can be exported when you need them.
The deciding test
Pull the last quarter's HR and payroll incidents and sort them. If most are about records, onboarding, approvals or the employee experience, choose BambooHR. If most are pay corrections, deductions that did not match a change, or payroll and HR telling different stories, choose Paylocity. If the list is short either way, keep your current payroll and start with BambooHR; it is the smaller change.
